Our Privacy Policy and Your Consent

Filming & Photography in Church or Church Grounds

This notice explains what to expect when we collect and process your personal information in relation to photography and/or filming and streaming of live church services. It is in addition to any relevant notices, the Consent Form for filming and photography and any necessary media release form.

We have a seperate privacy policy which covers how we collect, use and store your personal information in general.


Who we are

The Parochial Church Council of the parish of Saint Matthew Northampton ('PCC' or 'we'/'us'). PCC is the data controller in relation to personal information collected and processed as set out in this notice.


Why we collect personal information

Personal information is collected for:


recording and uploading, or live-streaming services from our church or church grounds online (for those who wish to participate in church services or other Parish activities remotely);

managing the media release forms in relation to such activities online.


What personal information we collect

We collect:


images: we may capture your image when filming church services or other Parish activities;

name and contact details: we will record your name and contact details provided by you on the Consent Form for filming and photography and any necessary media release form.


We also process special categories of information, which may include:


religious belief: by taking part in a church service this may indicate religious belief;

archiving: certain church services may be retained permanently for archival purposes.


Basis of collection

We collect and use personal data on the basis of legitimate interest and explicit (written) consent.

By downloading and signing the Consent Form and the Media Release Form, you are consenting to us collecting, making, holding, publishing and processing (together 'using') your data for the purposes set out above.

You may withhold your consent by sitting in a film free area of the church before filming or photography starts. Film free areas will be clearly marked by notices.

In non-film free areas consent cannot be withdraw once filming or live streaming has started or group photographs have been taken because your personal data cannot be permanently removed from the Internet or a group video or photograph be edited to remove your image.

If you are a regular attendee, your consent will be renewed every three years. However, you can withdraw your consent at any time to being filmed in future services by contacting the Parish Administrator as set out below.

You may be asked to consent on behalf of children aged under 17 attending with you. Please consider whether they would want their images to appear on the Internet.


Use and retention of collected data

We share photographs and recorded or live-streamed services with the public by uploading them to social media and other sites such as Zoom, Facebook, X etc.

This means that your data may be stored outside the UK. Each platform on which data is stored has its own privacy policy which describes how you data is used and protected.

We will keep your data for up to three years, except for special services which may be retained permanently for archival purposes.


Your rights relating to your personal data


The right to access – You have the right to request copies of the personal data we hold;

The right to rectification – You have the right to request that we correct any information you believe is inaccurate. You also have the right to request us to complete the information you believe is incomplete;

The right to erasure – You have the right to request that we erase your personal data, under certain conditions;

The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions;

The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions;

The right to data portability – You have the right to request that we transfer the data that we have collected to another organisation, or directly to you, under certain conditions.


The rights to withdraw consent, request erasure or restrict processing are limited, i.e. once the data is uploaded to the Internet we are no longer able to erase or restrict the processing of individual images. Also, the right to rectification only applies to the processing of your name and contact details, not to your image captured on film or video.

There is no charge for exercising the rights set out above. If you make a request, we will respond to you within one month. If you wish to exercise your rights, please contact the Parish Administrator contact the Parish Office via the online contact form or by telephoning 01604 791251.

You have the right at any time to make a complaint to the ICO (Information Commissioner's Office) online, or by calling 0303 123 1113 (local rate).


Changes to our privacy policy

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail.
